Last updated: October 2026

Your privacy matters to me. As a celebrant, I may be trusted with personal information, memories and stories while we plan your ceremony. I treat that trust with care and only use personal information where I have a clear reason to do so.

This Privacy Notice explains what information I may collect, why I use it, how I keep it safe, when it may be shared and the choices and rights you have.

I am Jan Prisic, trading as Iris & Sun Ceremonies, and I am the data controller for the personal information I use in running my celebrant business.

If you have any questions about this Privacy Notice or the information I hold about you, you can contact me at jan@irisandsun.com.

What information may I collect?

The information I need will depend on where you are in your journey with me and the type of ceremony or writing support you are planning.

I may collect:

  • your name, pronouns and contact details;
  • your address where needed for booking, invoicing or administration;
  • details about your ceremony, including the date, time, venue and people taking part;
  • information you share through enquiries, emails, messages, planning conversations and your My Celebrant App portal;
  • questionnaire responses, stories, memories, readings, vows, music choices and other ceremony material you choose to share;
  • accessibility or practical information that helps me make your ceremony comfortable and inclusive;
  • payment, invoice and transaction information;
  • photographs, video, testimonials or feedback where you choose to provide them or agree to their use; and
  • limited technical information generated when you use my website, such as your IP address, browser or device information and cookie data, where applicable.

Personal and sensitive information

Ceremonies are personal, and sometimes information you choose to share may fall within what data protection law calls special category information. This can include information about health, religious or philosophical beliefs, racial or ethnic origin or sexual orientation.

You do not need to share personal information simply because it may relate to your identity, culture, beliefs, health or relationship. Please only share what feels relevant to your ceremony and what you are comfortable sharing with me.

Where I need to deliberately record or use special category information, I will only do so where there is an appropriate lawful basis and an additional condition under data protection law.

Where I rely on your explicit consent, I will ask for that consent clearly. You can withdraw that consent for future use at any time.

Information shared privately in an individual questionnaire is treated as confidential and is not automatically shared with your partner. If there is something you do not want included in your ceremony, please tell me.

Information about children

Some of my ceremonies, particularly naming ceremonies and family celebrations, involve children.

Information about a child will normally be provided to me by their parent, guardian or another person arranging the ceremony. I only collect and use information that is reasonably necessary to plan, personalise and deliver the ceremony.

I treat information about children with particular care and do not use their personal stories, photographs or other information for unrelated marketing or promotional purposes without appropriate permission.

Information about other people

You may sometimes tell me about family members, friends, guests, guideparents or other people involved in your ceremony.

Please only share information that is reasonably relevant to the ceremony and take particular care before sharing somebody else's sensitive or private information.

Why do I use your information?

I only use personal information where I have a lawful reason to do so. Different lawful bases may apply depending on how I am using the information.

Contract – to respond to your enquiry, take steps towards a booking, manage your booking, communicate with you and plan, write and deliver the ceremony or writing service you have asked me to provide.

Legal obligation – where I need to keep or disclose information to comply with the law, including tax and accounting requirements.

Legitimate interests – for reasonable business administration, keeping my systems secure, handling enquiries or complaints, maintaining appropriate records and protecting or exercising legal rights, where your privacy rights do not override those interests.

Consent – where you have a genuine choice about how your information is used. This may include certain uses of sensitive information, direct marketing and wider promotional use of photographs, video, testimonials or personal stories.

I will never sell your personal information.

Your story is not my content

The stories, memories, questionnaires, vows and ceremony material you share with me are there to help me create and deliver your ceremony. I do not treat them as marketing material simply because you have shared them with me.

I will not publish your ceremony script, personal vows, private questionnaire responses or personal stories on my website, social media or other marketing materials without appropriate permission.

If you personally tag Iris & Sun Ceremonies in a public social-media post or story, I may reshare that specific tagged content on the same platform. A tag does not give me blanket permission to use your photographs, video or story elsewhere.

If I would like to use something more widely, I will ask you first. You can also ask me not to reshare something you have tagged me in.

When might I share information?

I keep sharing to the minimum reasonably needed.

Depending on your booking, information may be shared with:

  • My Celebrant App, which I use to manage bookings, questionnaires, planning information, documents and your client portal;
  • your venue or another supplier involved in your ceremony where limited information is needed to help deliver the service;
  • a replacement or supporting celebrant where relevant to your booking, including where contingency arrangements are required;
  • my accountant or bookkeeper, and banking or payment providers, where required for business and financial administration;
  • website, email, cloud-storage, backup or other technology providers that support the running of my business; and
  • HMRC, law-enforcement bodies, courts, regulators or other authorities where I am legally required to provide information.

Where I share information with another supplier or celebrant, I only share what is reasonably necessary for that purpose.

I do not share your private ceremony material for unrelated training, samples or marketing without your permission.

How I keep your information safe

I take reasonable steps to protect the information you share with me.

Electronic information is stored using password-protected devices and services, including My Celebrant App. I use appropriate security measures and limit access to people or service providers who reasonably need it.

Where I keep paper notes, I store them securely and dispose of them safely when they are no longer required.

Email, messaging and internet services can never be guaranteed to be completely secure. I choose reputable services and take reasonable precautions, but no online system can remove every risk.

Information processed outside the UK

Some of the technology providers I use may process or store information outside the UK.

Where this involves an international transfer under UK data protection law, I take reasonable steps to ensure appropriate safeguards are in place.

If you would like more information about how a particular service provider protects your information, please contact me.

How long do I keep your information?

I do not keep personal information indefinitely just in case it might be useful.

Enquiries that do not become bookings are normally deleted when they are no longer needed, usually within 12 months of our last meaningful contact.

Questionnaires, working notes and draft ceremony or writing material are normally deleted within three months after your ceremony, or after your final writing service has been delivered, once any immediate follow-up is complete.

Essential booking records, signed agreements and relevant correspondence may be kept for longer where reasonably necessary for business, insurance, complaint or legal-record purposes.

Invoices, income, expenses and other tax records are kept for at least the period required by HMRC. For a sole trader, this will normally be at least five years after the 31 January Self Assessment submission deadline for the relevant tax year.

Where I use photographs, testimonials or other material for promotional purposes with your consent, I may keep that material and a record of your consent while the consent remains in place. You can withdraw your consent at any time.

When information is no longer needed, I will delete, securely destroy or anonymise it as appropriate.

My website, cookies and analytics

My website may collect information that you actively provide, for example through an enquiry or contact form, as well as limited technical information generated when you browse the site.

Websites use cookies and similar technologies for things such as security, remembering choices and understanding how a website is used.

Some cookies are necessary for a website to work properly. Where consent is required for analytics, advertising or other non-essential cookies, you will be given a choice through the website's cookie controls.

The exact cookies and services used on my website may change as the website develops. Your browser may also allow you to manage or delete cookies.

If you follow a link from my website to another website or social-media platform, that organisation will have its own privacy and cookie information.

Emails, messages and marketing

If you enquire or book with me, I will use the contact details you provide to reply to you and send information relating to your enquiry, ceremony or service.

These communications are part of managing the service you have asked me to provide and are not general marketing.

I will not add you to a general marketing mailing list simply because you enquire or book with me.

If I introduce email marketing, newsletters or similar updates in future, I will only send them where I have an appropriate lawful basis and you will be able to unsubscribe easily.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of the personal information I hold about you;
  • ask me to correct information that is inaccurate or incomplete;
  • ask me to delete personal information in certain circumstances;
  • ask me to restrict how I use your information in certain circumstances;
  • object to certain uses of your information;
  • ask for certain information to be transferred to you or another organisation; and
  • withdraw your consent at any time where consent is the basis I am relying on.

These rights are not absolute and sometimes I may need to keep or use information for another lawful reason. If that applies, I will explain why.

I do not use your personal information to make solely automated decisions about you that have legal or similarly significant effects.

If you want to make a request or raise a concern

If you would like to exercise any of your rights, ask a question or raise a privacy concern, please email jan@irisandsun.com.

I will respond as soon as reasonably possible and within any timeframe required by data protection law.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent regulator for data protection.

You can find information about making a complaint at www.ico.org.uk.

I would always welcome the opportunity to understand and address your concern directly first, but you do not have to contact me before contacting the ICO.

Changes to this Privacy Notice

I may update this Privacy Notice from time to time as my services, systems or legal obligations change.

The latest version will always be available on the Iris & Sun Ceremonies website.

Questions

If anything in this Privacy Notice is unclear, please ask. Privacy information should be understandable, not buried in legal jargon.
